About the role

Münster, Germany · Part-time

The Executive Assistant & Project Coordinator will provide executive, administrative and project coordination support to the CFO. Based in Germany and working closely with the CFO in France, you will help keep financial administration, corporate governance and cross-border operational matters moving to completion.

This is a practical coordination role for someone who is organised, persistent and comfortable following up with banks, lawyers, tax advisers, notaries, corporate service providers and internal teams. You will coordinate documents, signatures, banking administration, KYC and AML requests, legal entity changes and board formalities across the Atari Group.

You do not need to be an accountant or a technical finance specialist. You do need to be reliable with sensitive information, comfortable with formal processes and willing to chase the right people until an item is complete.

What you’ll do

  • Provide day-to-day executive and administrative support to the CFO, coordinating priorities across Germany, France and the US.
  • Coordinate the preparation, circulation, approval and execution of corporate documents, board resolutions, powers of attorney and other legal or finance documentation.
  • Manage signature workflows, monitor outstanding actions and ensure documents are signed, returned and stored on time.
  • Coordinate banking administration, including account openings and closures, bank mandates, signatory updates and KYC/AML requests.
  • Maintain accurate corporate records and legal entity documentation, ensuring information is complete, current and easy to retrieve.
  • Support legal entity shutdowns, entity administration and related projects by coordinating actions across Finance, Legal, tax advisers, banks and external service providers.
  • Liaise with banks, external legal counsel, tax lawyers, corporate service providers, notaries and local finance teams on administrative and corporate matters.
  • Coordinate board minutes, governance records, approvals, formalities and other recurring corporate requirements.
  • Support finance-related administrative work, including gathering information, tracking deadlines, maintaining records and coordinating deliverables.
  • Act as a project coordinator for cross-functional finance and governance workstreams, keeping owners aligned and following through on open items.
  • Provide administrative support for certain Luxembourg-related matters and coordinate with the relevant internal and external contacts.
  • Escalate delays, missing information, unclear ownership or material issues to the CFO or relevant functional lead.

Requirements & Qualifications

  • Professional fluency in English, with the ability to communicate clearly in writing and verbally with internal and external stakeholders.
  • Experience in an administrative, executive support, banking, legal operations, paralegal, corporate services or similar coordination role.
  • Strong organisation and follow-through, with the confidence to chase people, manage deadlines and keep multiple workstreams moving.
  • Experience handling confidential information and formal documentation with accuracy and discretion.
  • Comfort working with banks, lawyers, advisers, notaries, corporate service providers or other external stakeholders.
  • Ability to work independently, prioritise changing requests and operate with flexibility when the CFO and key stakeholders are based in another country.
  • Good judgement and attention to detail when coordinating governance, KYC/AML, banking and legal entity administration.

Nice to have

  • Professional proficiency in French.
  • Experience supporting a CFO, finance leader, executive team or European corporate function.
  • Experience in a bank, financial institution, law office, corporate services provider or multinational business.
  • Familiarity with KYC/AML processes, bank mandates, signatory administration, powers of attorney, board documentation or legal entity management.
  • Experience coordinating entity closures, corporate reorganisations, acquisitions or other cross-border projects.
  • Familiarity with Luxembourg corporate or finance administration.

How you’ll work

This role is about making sure important administrative and governance work does not sit unresolved. You will often be coordinating several parties at once, clarifying what is needed, tracking who owns the next step and following up until the document, approval, bank request or entity action is complete.

You will work closely with Finance and Legal, but you are not expected to provide accounting or legal advice. Your value will come from being dependable, organised and persistent, and from creating enough structure that the CFO and specialist advisers can make decisions and complete formalities efficiently.

The role requires flexibility in working hours to accommodate cross-border coordination with the CFO in France, banks, advisers and teams in other time zones.
